Stonebook custodian consolidation across Schwab, Fidelity, and Pershing

Most firms already receive the files. The problem is they land in seven formats and get rebuilt in a spreadsheet before anyone prints a pack. Stonebook takes the files as they are, maps them to the households you already run, and leaves the source untouched.

What we do for clients

What lands in the book:

  • Positions, cash, and lots from each connected custodian, with the as-of date still attached to the file.
  • Household mapping using the rules you already use. Stonebook does not invent a household or rename an account.
  • Source map - which custodian owns which household file, and who at the firm enters private marks
  • Load roadmap - a 90-day plan with file names, custodian roster, and flags for files that fail
  • Data readiness audit - honest assessment of whether your data can support the use cases you are considering, and what it would take to close the gaps
  • Governance and compliance mapping - regulatory and security requirements identified and mapped to your roadmap before any build decisions are made

How a file gets into the book

Every Custodian Consolidation engagement follows the same three-phase structure, led by a senior operator at each stage:

  1. Connect. You authorize a read-only feed. We do not take custody. We do not place trades. If a file is late, the flag is on the book before a pack goes out.
  2. Map. Accounts join the household you already run. If two custodians use different account numbers for the same person, you decide the join. The source files stay as they arrived.
  3. After onboarding, your ops lead gets a one-page handoff: which files loaded, which failed, and which private marks still need a date. If you stay with us, that sheet becomes the first page of the book. If you take the files elsewhere, you leave with the map.
We were reconciling seven custodians in spreadsheets every month. The book now lands in one place. Helen Cho, Chief Operating Officer

Where we fit best

Most firms that buy Custodian Consolidation already run Schwab, Fidelity, and at least one more. They are not looking for a new adviser. They need one book that shows whether last month's files actually loaded.

We are a particularly strong fit for:

  • Ops teams reconciling seven or more custodians in spreadsheets every month
  • Firms that cannot tell a client which file failed before the quarterly pack goes out
  • Technology and data teams that know what they want to build but need external validation and sequencing
  • RIAs preparing for an exam and need a single place to pull the household book

We work closely with your internal engineering and data teams throughout - and have a strong track record of producing strategies that internal teams can actually execute, without the friction that comes from recommendations made without understanding the existing stack.
