Why stale private marks should stay stale

The date is the record

A private mark that rolls forward without a new date looks current. It is not. The book should print the date you entered and leave it there until you enter another one.

We have watched firms treat last year's K-1 as this quarter's NAV because the spreadsheet had no column for as-of. When an examiner asks when the mark was set, the honest answer is the date on the file, not the date on the pack.

What a stale flag actually is

A stale flag is not a score. It is a print of the as-of date next to the mark. If the date is old, the report says it is old. Command Stone measures and reports. It does not tell you the mark is wrong.

For this piece, a usable private book means every line has a source, an as-of date, and a person at the firm who entered it. Missing any of those three is a gap in the record, not a modeling problem.

The gap between a rolled-forward NAV and a dated mark is where most exam questions start. It is not a valuation debate. It is a records debate.

Five ways a mark goes quiet

Across the books we print, five patterns account for most of the stale lines. None of them require a new model. They require a date.

1. No as-of column. The most common gap. A mark copied from last year's K-1 into this quarter's pack looks current because the spreadsheet has no place to print the date. Every private line in Stonebook starts with a date you entered.
2. Rolled-forward NAVs. Firms overwrite last year's figure when the new K-1 is late. The pack then shows a number with no source for this period. Leave the old mark. Print that it is old.
3. Missing source. A number with no file behind it cannot be pulled in an exam. Stonebook keeps the source on the same line as the mark so you can hand the examiner both.
4. One person holds the private book. When that person is out, the marks stop. Firms that keep the date share login at the firm level. Unlimited seats are there so ops is not waiting on a seat.
5. Handoff without the dates. Giving a successor a working pack without the as-of column is not a handoff. If the next ops lead cannot see which marks are old, the book will quietly roll forward again.

What firms that keep the date do

They enter the mark when the K-1 lands. They do not overwrite last year's figure. They let the pack show the age. They keep the source on the same line. And they treat a missing date as a missing file, not as a number to fill.
