How the book is built
FORGE is how the book is built
The motto is FORGE: Frame, Orient, Run, Gate, Evolve. That is the sequence we run on every licensed book, so a stale private mark cannot look current and a late custodian file cannot silently drop out of a pack.
F
Frame
Name the households, and private holdings the book covers
O
Orient
Map accounts into households the way your firm reports
R
Run
Post each custodian file at end of day and date every private mark
G
Gate
Hold marks and open breaks until your team clears them
E
Evolve
Add custodians, entities, and firm limits as your book grows
F · Phase 1
Frame
Custodian roster
List every custodian you receive files from and the accounts each one holds.
Household list
Name the households and entities the book reports on, and who at your firm owns each one.
Private holdings
Keep custodian positions and private holdings apart. They never blend into one unmarked number.
Firm limits
Record the concentration limits your firm already uses. Stonebook reports against them and sets none of its own.
O · Phase 2
Orient
Account mapping
Each custodian account ties to a household or entity, not to the label on the custodian's file.
Lot mapping
Positions keep their lots and cost basis, so the book matches what the custodian actually holds.
Entity tags
Trusts, LLCs, and partnerships are tagged so ownership reads correctly on every report.
Mapping sign-off
Your ops lead reviews the mapping before the first book is posted.
R · Phase 3
Run
End-of-day posting
Each custodian file posts with its own as-of date. A late file keeps the prior date instead of being filled in.
Security marks
Listed securities take the end-of-day mark. Stonebook never uses intraday or live quotes.
Private marks
You enter the value and the valuation date. That date prints on every line that uses it.
Recon flags
Cash, position, and accrued income breaks are flagged across custodians and the private ledger.
G · Phase 4
Gate
Stale-mark hold
Private marks older than your firm's threshold are labeled stale on the pack. They are never rolled forward.
Break review
Open recon breaks stay on the book until someone on your team closes them.
Pack check
A quarterly pack prints only after every file in it has a posted date.
Sign-off record
Who cleared each break, and when, stays with the book for the exam file.
E · Phase 5
Evolve
New custodians
Add a custodian or account and it maps into the same book. There is no second system.
Firm changes
New households, entities, and limits are added as your firm takes them on.
History kept
Prior books stay read-only, so a past quarter always shows what was posted at the time.
Annual review
Once a year we walk through your mapping and limits with your ops lead. Advice and supervision stay with your firm.
